Easywebr Privacy Policy

Last updated: 16 October 2026

1. Who we are

Easywebr Ltd (“Easywebr”, “we”, “us”) sets up and runs automation, booking and customer messaging systems for UK service businesses. We are the controller of the personal information described in this policy, except where section 10 says otherwise.

  • Company number: 15888866 (registered in England and Wales)
  • ICO registration number: ZB826072
  • Privacy contact: [email protected]

We are a small business and have not appointed a Data Protection Officer. Questions about this policy go to the privacy contact above.

2. Who this policy covers

This policy explains how we handle personal information about:

  • visitors to easywebr.com and our booking and form pages
  • people who take our business audit quiz, book a call, or contact us
  • contacts at the businesses we work with (clients) and at our suppliers

If you are a customer of one of our clients, your information is mainly handled under that business’s own privacy policy. Section 10 explains our role.

3. Information we collect

We collect information you give us and information created when you use our pages or call us.

Where it comes from What we collect

We do not ask for special category information (such as health details) about you. Please don’t include it in free-text boxes.

4. How we use it and our lawful bases

UK data protection law requires a lawful basis for each use of your information. These are ours.

What we do Lawful basis

Follow up on your quiz result and send you marketing about our services Consent. You can withdraw it at any time

Where we rely on legitimate interests, we have weighed our interest against your rights and expectations. You can ask us for the details, and you can object at any time (section 11).

5. Marketing and how to opt out

We only send you marketing if you agreed to it.

  • If you took our quiz or asked us to keep in touch, we may contact you by phone, text and email about your result and our services, as set out in the consent wording you agreed to.
  • Every marketing email and text includes a way to opt out. You can also reply “stop” or email [email protected].

When you opt out, we keep your email or phone number on a suppression list so we don’t contact you again. We never sell or rent your details.

6. AI and automated processing

Some of our services use AI to process information, for example to produce quiz results or to summarise calls and messages. No decision with a legal or similarly significant effect on you is made by AI alone.

7. Who we share it with

We share your information only with the service providers we need to run our business, and they may only use it on our instructions.

We may also share information with our accountant and professional advisers, with HMRC, the police or regulators when the law requires it, or with a buyer if we sell the business. We never sell your information.

8. International transfers

Most of our providers are based in the USA, so your information is transferred outside the UK.

We only do this with a legal safeguard in place. That is either the UK Extension to the EU-US Data Privacy Framework (the “UK-US data bridge”) where the provider is certified under it, or the UK International Data Transfer Agreement or UK Addendum to the EU Standard Contractual Clauses. You can ask us for a copy of the safeguard that applies.

9. How long we keep it

We keep information only as long as we need it, then delete it or make it anonymous.

10. Information we handle for our clients

When we run systems for a client business, that business decides how its customers’ information is used. It is the controller and we are its processor.

This covers things like enquiries, bookings, messages, calls and reviews from that business’s own customers. We handle it only on the client’s instructions and under a data processing agreement that meets Article 28 of the UK GDPR. We do not use it for our own marketing.

We do not use our clients’ customers’ information, including any call recordings, for any purpose of our own.

If you are a customer of one of our clients and want to access, correct or delete your information, please contact that business directly. If you contact us, we will pass your request on to them.

11. Your rights

You can ask us to do any of the following, free of charge, by emailing [email protected]. We reply within one month.

  • See a copy of the information we hold about you
  • Correct information that is wrong or incomplete
  • Delete your information
  • Limit how we use it while a concern is looked into
  • Object to us using it on the basis of legitimate interests, including for marketing
  • Withdraw consent you have given, without affecting what we did before
  • Receive information you gave us in a format you can take elsewhere

Some rights have limits. For example, we must keep accounting records for a set time. If we can’t do what you ask, we will tell you why.

If you are unhappy with how we handle your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

12. Cookies

Our website uses cookies that are strictly necessary for it to work, such as keeping forms, the quiz and the booking calendar running and protecting the site from attacks. These don’t need your consent.

We also use analytics and advertising cookies to understand how people use the site and to measure our ads. We only set these if you accept them in our cookie banner, and you can change your choice at any time through the cookie settings link on our website.

You can also block or delete cookies in your browser settings, though some parts of the site may stop working.

13. Security, children and changes

Security. We use access controls, two-factor sign-in on our accounts and encrypted connections, and our providers protect the data they hold for us. If a breach puts your information at risk, we will tell you and the ICO where the law requires it.

Children. Our services are for businesses. We don’t knowingly collect information from anyone under 18.

Changes. We will update this policy when how we handle information changes. The date at the top shows when it last changed, and we will tell clients about significant changes.
